Privacy notice

This explains what Clinidanth does with two different kinds of information: your details if you are a dentist who contacts us or uses our software, and patient records that a clinic keeps inside our software.
1. Who we are
Clinidanth makes clinic software, clinic websites and the Clinidanth Khata logbook. We are based in Tirupati, Andhra Pradesh, India. You can reach us at hello@clinidanth.com.
2. Patient records belong to the clinic, not to us
When a clinic uses Clinidanth, the clinic decides what patient information is recorded and why. In the words of India's Digital Personal Data Protection Act, 2023, the clinic is the Data Fiduciary and Clinidanth is the Data Processor. We hold and protect those records on the clinic's behalf and act on the clinic's instructions.
- Every clinic's records sit in its own separate database. One clinic can never see another clinic's patients.
- We do not sell patient information, and we do not use it for advertising or to train any system.
- Our staff do not open patient records. We look at a clinic's data only if the clinic asks us for help with a problem, and only as far as needed to fix it.
- A clinic can download all of its data at any time, on every plan.
- If a clinic stops paying, nothing is deleted. The software becomes read-only so the clinic can still open, print and download its records.
- When a clinic asks us to close its account, we delete its records within 30 days, except anything the law requires us to keep.
Patients: if you want to see, correct or remove your dental records, please ask your clinic. They hold your records; we only store them for the clinic.
3. What we collect about you (dentists and clinic staff)
| What | Why |
|---|---|
| Name, mobile number, clinic name, city, and anything you type in the demo form | To call or WhatsApp you about a demo, and to set up your clinic if you sign up |
| Your login name and a scrambled version of your password | To sign you in. We never store your actual password and cannot read it |
| Email address, if you add one to Clinidanth Khata | To send you a code if you forget your password |
| Basic technical records of requests to our servers | To keep the service running, to stop abuse, and to find faults |
We ask for your agreement before contacting you, and you can withdraw it any time by replying to us or writing to hello@clinidanth.com.
4. Cookies
We use one cookie, and only after you sign in: it keeps you signed in. There are no advertising cookies, no tracking pixels and no third-party analytics on our site or in the software. Our fonts are served from our own address, not from Google or any other company. Two things connect your browser to another company, and only when you choose: a clinic's website can show that clinic's Instagram posts after you press “Show” (Instagram then sees your visit), and a WhatsApp link opens WhatsApp.
5. Where the information is kept
Clinidanth runs on Cloudflare's network. Databases are created in the Asia-Pacific region, and Cloudflare may hold copies on servers outside India as part of running the service. The DPDP Act allows this, except for countries the Government of India restricts. All information travels encrypted (HTTPS) and is encrypted where it is stored.
6. Who else sees it
Only the companies that make the service work: Cloudflare (hosting, databases, file storage, sending our emails, and the AI model behind the help chat). The help chat sends the question you type to an AI model running on Cloudflare's Workers AI, so please do not type patient names into it; Cloudflare states that it does not use this content to train its models (its explanation). Meta (WhatsApp) and Instagram see you only if you press a WhatsApp link or choose to show an Instagram post. We do not share your information with anyone else, unless the law or a court requires it.
7. How long we keep it
Clinic records: for as long as the clinic uses Clinidanth, and for 30 days after the clinic asks us to close the account. Demo requests: up to 2 years. Appointment requests made on a clinic's website: removed 90 days after the clinic has dealt with them (or 90 days after they were sent, if nobody has). Technical records: up to 90 days.
8. If something goes wrong
If information is ever exposed by mistake, we will tell the affected clinics and the Data Protection Board of India as the law requires, explain what happened, and say what we are doing about it.
9. Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it, ask us to delete it, or nominate someone to act for you. Write to hello@clinidanth.com and we will reply within 30 days. If you are not satisfied, you may complain to the Data Protection Board of India.
10. Changes
If we change this notice, we will change the date at the top and tell clinics by email or inside the software.
This notice is written in plain English for our customers. It is not legal advice, and a lawyer has not yet reviewed it.
